Hotel Allergy Accommodation Reach Out Template

When booking hotels reservations during my travels, I always make sure to find an email for that hotel restaurant or dining service and reach out to each location with the same email outline and different specifics regarding my need for having food prepared safely and separate from my allergens. Especially when traveling abroad, communication about food allergies in advance for every step of the way is crucial to having transparency and knowledge of which food options you have to rely on. It is important to be direct, thoughtful, and ask clear questions in these emails. Don't be afraid to email multiple times. Use this template when you reach out to hotels to dine in the future! Good evening,


I will be staying at your hotel in ___ from ___. I have severe food allergies to: ________.


I will be eating breakfasts and lunches from your hotel and want to work with the main hotel chef to coordinate I want to make sure that you are able to accommodate my food allergies by preparing meals in a separate area of the kitchen, with clean utensils and pans without the allergens listed above in order to avoid cross contact. 


I cannot have anything cooked on a grill because of cross contact concerns, so food would need to be prepared in separate pans. Along with that, can everything be made with only olive oil and no butter because of my severe dairy allergy?*


There are many restaurants/hotels that use latex gloves, so if that is the case for your restaurant, please let us know.  I would be happy to provide you with a box of non latex, food safe gloves upon my arrival to use for preparing my meals.


I would greatly appreciate being able to be in touch with one of your managers or chefs to ensure that I can have a safe dining experience during my trip.
